Virtual Corporate event reaches over 94% participation in its sales kickoff event using MeetingPulse

The Challenge

The strategic goals of a large computer networking company relied on producing a successful global sales kickoff that would gather participants from several continents and many time zones. Even more challenging, in the past, they’d only successfully put on events that were 100% in person, while this event would have to be 100% remote. And their previous rates of engagement in sales kickoffs hovered at under 5%.

The company’s virtual event producer was Kinetic Creations. And Kinetic Creations turned to the unmatched virtuosity that event planners can only get from the feature-rich platform of MeetingPulse.

Kinetic saw that with MeetingPulse’s digital capability, they could ask more questions and stimulate more responses and ideation than in any in-person meeting that lacked a similar digital platform.

The Sales Kickoff’s Goals

  • Encourage and reward desired behaviors and interactions.
  • Create a more social environment.
  • Provide a common sense of purpose and opportunities to interact with other attendees throughout the event.
  • Reinforce key information for attendees.
  • Collect more valuable data to gain a better sense of the overall success of the event.

“When COVID19 hit in 2020, we had to adapt and shift our strategy to supporting virtual events as well. Our biggest initial challenge was identifying the technology to support our clients’ broad array of needs, from complex functionality to custom branding and attendee experience. Beyond that, creating an engaging experience that felt as much like a live event as possible was particularly challenging.

Bringing people together, making them feel seen and heard, and gauging whether or not they received the key takeaways intended from each event are difficult things to do when everyone is attending from behind a screen.”

The Solution

Creating the Agenda
Kinetic designed the sales kickoff to include:

  • Encourage and reward desired behaviors and interactions.
  • Create a more social environment.
  • Provide a common sense of purpose and opportunities to interact with other attendees throughout the event.
  • Reinforce key information for attendees.
  • Collect more valuable data to gain a better sense of the overall success of the event.

Lobby where attendees waited for sessions to start with chat

“We factored in not only engagement, but gamification, to incentivize attendees to participate. This included individual prizes following each question, as well as grand prizes for the overall point earners.

We were sure to award points for engaging - not just for getting something correct - so we wouldn’t discourage participation.”

Kinetic chose several key MeetingPulse solutions:

Announced winners as they  were pulled, following each  trivia question or other opportunity to win

Used Announcements to guide users throughout the platform, i.e. “Click this button to join the next session” or “See you back here in an hour after the break”

Live Chat Conversations
In the Lobby with the agenda
On session pages & virtual waiting room pages

Announced winners as they were pulled, following each trivia question or other opportunity to win

Sent out a link in advance to submit questions for the live exec panel

Used MeetingPulse’s live Q&A tool during the Q&A sessions and executive panel, with moderation on the backend

Popup trivia questions related to conference content
Session quizzes consisting of 5 questions each, run immediately after the session ended with the goal of reinforcing content

During the Awards segment, a trivia question about each winner was run as each winner was announced (i.e. “What was John’s first job?”)

Guest Speaker trivia
Challenger trivia (one of the main topics of the meeting was a sales strategy called Challenger, so this segment of questions was to reinforce key info)

Sent out a link in advance to submit questions for the live exec panel

Used MeetingPulse’s live Q&A tool during the Q&A sessions and executive panel, with moderation on the backend

Translation tool for translating free-text polls and Q&A to English (Half of the conference was based in Asia)

Participants got points for submitting a question or answering a question.

Participants got points for submitting a video with their sales pitch

MeetingPulse’s platform automatically tallied points and tracked them on a Leaderboard

Following the event, in addition to the raffle winners, 8 grand prizes were given away to the individuals with the highest overall scores

Participants were given a raffle entry for correct answers, with winners put on a leaderboard in real time

“The gamification aspect was challenging to implement, but absolutely worth it. We have continued to use this strategy with other clients, further streamlining the preparation process and improving the results.”

The gamification rules used in the event. Attendees could access these as a PDF via the Materials feature.

“MeetingPulse allowed us to provide a more immersive experience for our client’s attendees, keeping them engaged throughout an event that is typically held in-person and based entirely on interaction with each other. We were able to maintain high rates of engagement throughout the event, reinforce key information, and collect more valuable data for our clients and their stakeholders. “

Using MeetingPulse, Kinetic’s client achieved 100% participation on both days of the EMEA/Americas session.

“We were able to maintain high rates of engagement throughout their event, reinforce key information, and collect more valuable data for our clients and their stakeholders,” Kinetic Creations said.

MeetingPulse technology engaged participants, gamified the event’s experience, and gathered actionable live audience responses over many global sessions.
