Import members and set eligibility

Import your membership export with name, email, and any columns that govern eligibility: member class, chapter, region, delegate status. Turn on unique access codes so each member receives one ballot. Load the agenda, the slate from the nominating committee, and the full text of any proposed bylaw amendments so members can review them alongside the vote.
Members receive an email with a personal voting link. Clicking it logs them in. No account creation, no password, no app.
During the AGM

Open each vote as the agenda reaches it

Open the board election when nominations close from the floor. Members in the room and members on Zoom vote from their phones at the same time. Use a conditional ballot so the delegate-only vote appears only for delegates while the general membership sees the motions they are entitled to vote on. Watch participation build in real time so the chair can compare it against the quorum in your bylaws.

For decisions that need more time, keep the ballot open for a defined window after the meeting so members who could not attend still participate from their email link.
